Who is responsible

What this website collects

The enquiry form collects your business name, name, phone number, email address, and any optional description of the problem you submit. The form sends this information through the website's server to the enquiry workflow used by Rudman Solutions. It is not stored persistently in your browser. If delivery cannot be confirmed, the details remain visible while the form is open. If you close the form, a memory-only retry copy is retained for up to 30 minutes so the same request can be retried safely. You can discard it from the error message or clear it by reloading the page.

When you submit the form, the enquiry also records the page and call-to-action used, language, the origin of the referring website without its path, query, or fragment, and any campaign parameters explicitly present in the page URL. This limited source information is used to understand which pages and campaigns lead to genuine enquiries. It is collected only on submission; the site does not use analytics cookies or fingerprinting for this purpose.

After submission, Rudman Solutions may add the enquiry's working status, conversation notes, the agreed next action, and its due date in the private enquiry inbox. These follow-up details are used only to answer and manage the enquiry or resulting relationship.

The server also processes limited anti-abuse data, including submission timing, a hidden spam field, and the originating IP address. The application converts the IP address into a keyed, one-way identifier for short-lived rate limiting instead of storing the raw address with the enquiry. The hosting provider may process ordinary technical logs such as IP address, browser, requested URL, timestamp, and security events to deliver and protect the site.

Why information is used

The relevant basis is your request, a possible or existing agreement, our legitimate interest in operating and protecting the business, or a legal obligation as applicable.

Who receives information

Information is shared only with providers needed to host the website, run the configured enquiry automation or customer-management workflow, deliver communications, and operate the business, or with advisers and authorities where legally required. We do not sell personal data. Where a provider processes data outside the EEA, appropriate transfer safeguards should be used by that provider.

How long information is kept

Unsuccessful enquiries are normally deleted or anonymised within 24 months of the last meaningful contact. Client records may be retained longer where needed for the relationship, accounting, legal claims, or other mandatory obligations. Technical log retention is controlled by the hosting provider and should be limited to what is needed for delivery and security.

Cookies and local storage

This website does not currently use analytics or advertising cookies and does not store form drafts in browser storage. The memory-only retry copy retained after closing the form expires after 30 minutes and does not survive a page reload. The contact form does not require an account. Essential infrastructure may still use short-lived technical mechanisms required to deliver or protect the site.

Your rights

Depending on the applicable law, you may request access, correction, deletion, restriction, objection, or portability. You may also complain to your local data protection authority. Email contact@rudman.io to make a request. Identity may need to be verified before information is disclosed.

Changes

This policy will be updated if the website starts using analytics, marketing tools, or other services that change how personal data is handled.
