Outreach privacy notice

You can object to business outreach at any time. Reply to the message or email contact@rudman.io. Rudman Solutions will stop using your contact details for direct marketing and keep only the limited suppression record needed to honour the request.

Who is responsible

Rudman Solutions is responsible for the personal data described in this notice. Questions and requests can be sent to contact@rudman.io.

Information and sources

Rudman Solutions may record a business name, public business address, website, public business telephone number or email address, a named business contact and role, the public source, source-verification date, a factual observation about the business, outreach history, replies and scheduled follow-up.

Sources are limited to information made public for business purposes, such as the business's own website, public business directories, public records and business discovery services. Source and confidence information is retained so that each contact point can be reviewed before use. Hunter Domain Search may be used to suggest a named business contact, but the system only retains a candidate when Hunter supplies a valid verification status and a public source that remains available. A person reviews the candidate, role and source before any contact.

Purpose and legal basis

The information is used for limited, relevant business-to-business outreach, to avoid repeated or unsuitable contact, to respond to replies and to evaluate whether a specific service may be useful. Rudman Solutions relies on a documented legitimate-interest assessment where that basis is available. No automated decision produces legal or similarly significant effects.

Human review and contact limits

Contact details and message drafts are reviewed by a person before use. Rudman Solutions does not place prospects into an unrestricted automated sending sequence. A prospect is normally contacted once, with at most one relevant follow-up when appropriate, unless the recipient replies or requests further information.

Recipients and service providers

Information may be processed by providers needed to host the private outreach system, enrich public business contact details (including Hunter), deliver email and operate the business, or by advisers and authorities where legally required. Rudman Solutions does not sell prospect data. Appropriate safeguards should be used where a provider processes personal data outside the EEA.

Retention

Uncontacted or unresponsive prospect records are reviewed regularly and should normally be deleted or anonymised within 12 months of the last source verification or meaningful contact. Records may be kept longer for an active business dialogue, legal claims or mandatory obligations. Suppression records are retained as long as reasonably necessary to prevent renewed contact.

Your rights

Depending on applicable law, you may request access, correction, deletion or restriction, and may object to processing. The right to object to direct marketing is absolute. You may also complain to your local data-protection authority. Identity may need to be verified before information is disclosed.
